ALIM Web Help

To Update the Workflow Scheduling Calculator

ALIM Web automatically provides schedule dates for the entire workflow as well as individual tasks. A Plan Start or End date and a duration segment (for example, 3 for 3 days) for the workflow and duration must be assigned to each work task. The system issues an appropriate warning if any of the required durations are missing.

The system uses a current calendar and excludes weekends when making calculations. For this reason, a task which starts on a Monday and has a duration of six days, will end on the following Monday.

Follow these steps to use the workflow scheduling calculator.

  1. Open the workflow for which you want to use the schedule calculator.
  2. Create and link all workflow tasks, and ensure that each task has a Duration.
  3. From the Workflow menu, select Calculate Schedule.

The Update Workflow Schedule dialog appears.

  4. Enter the task settings:
    1. Calculate Task Dates from this Date Forward – Calculates the schedule from the Plan Start Date forward. Select this option if you want the workflow deadline to be calculated from the selected start date.
    2. Calculate Task Dates from this Date Backward – Calculate the schedule date backwards from a future date. Select this option if you want the workflow start date to be calculated from the selected deadline date.
    3. Clear Task Start & End Dates – If individual tasks have a start and end date, clear the dates and substitute new dates from the calculation.
    4. Adjust Workflow Start & End Date to Match First and Last Task – After the calculation, the workflow start date will be the same as the first task's start date and workflow end date will be the same as the last task's end date.
  5. Click Update.
Note: When you refresh (<F5>) the workflow detail, the planned start and end dates are displayed as well as the total Duration. Each work task is allocated the appropriate planned start and end dates.
